Communications Plan is one of the project management document you can create with our project management lifecycle software.
In project management, communication is the way to deliver information needed by someone. Different project stakeholders have different information needs. In order for the project members, customers and other stakeholders to have the information they need to achieve their duties, and to manage stakeholders’ expectations about how the project is progressing, it is important to document the information needs and the way to deliver the information. Communications Plan is developed to serve this purpose.
This article shows you how to develop a Communications Plan.
Activity 1: Perform Communications Planning
List the stakeholders and describe their information needs
Communication is the way to deliver information needed by someone. In order for the project members, customers and stakeholders to have the information they need to achieve their duties, and to manage stakeholders’ expectations about how the project is progressing, it is important to document the information needs and the way to deliver the information.
In this step, determine the people and target group that need to receive a particular kind of information. Complete the communication matrix.
Complete the communication matrix
For each information need, identify the purpose of such need (e.g., to meet a requirement, to build buy-in, to build consensus, to fulfill a tradition), the provider of the information, when and how it is collected, and how the information will be reported.
Determine deliver vehicles
For each report or document needed to communicate information, identify the primary and secondary distribution vehicles, which are the methods for delivering the report or document. Specify the frequency or distribution for each report or document.
